Share your calendar with someone

Important: If you have a work or school account, your administrator controls your ability to share your calendar. If you can't share a calendar, contact your administrator.
In Google Calendar, you can share any calendar you own or have permission to share with others. When you share your calendar with someone:
  • You can control what they can find and do on your calendar.
  • They get an email. To add your calendar, they must accept your sharing request in the email.
  • You can choose to stop sharing your calendar at any time.

Share your calendar with specific people or groups

Important:

  • You can’t share calendars from the Calendar app.
  • To share someone else’s calendar, the owner of the calendar must give you the “Make changes & manage sharing” permission.

Step 1: Find the right calendar

  1. On your computer, open Google Calendar.
  2. On the left side of Calendar, find "My calendars."
  3. To find a full list of calendars, click the Down arrow Down arrow.

Step 2: Select who you want to share your calendar with

  1. To the right of the calendar, click More and then Settings and sharing.
  2. On the left, click Share with specific people or groups.
  3. Under "Share with specific people or groups," click Add people and groups.
  4. Add the email address of the person or Google Group.

Step 3: Select what people can do with your calendar

Choose how much access you want to give to other people:

  • See only free/busy (hide details): People can only find out when you're busy. They can’t find out event names or details.
  • See all event details: People can find everything on your calendar, which includes event names, times, locations, and descriptions.
    • If an event is marked as "Private," event details aren’t visible.
    • If the “See guest list” permission isn't enabled, the event guest list isn’t visible.
  • Make changes to events: People can edit events on your calendar.
  • Make changes and manage sharing: People have full control of events on your calendar. They can:
    • Create new events.
    • Manage events.
    • Change share settings.

Step 4: Share the calendar

To give your recipient access, click Send.

People you share your calendar with get an email. To add your calendar, the recipient must click the link in the email.

If the recipient can’t find the email:

  • Make sure you have the correct email address.
  • Ask the person to check their spam or trash.
  • Ask the person to search for your email address to find the email.
  • Remove the person from the calendar’s sharing settings and then add them again.

Make your calendar available to more people

You can share your calendar with:

  • The public
  • People in your work, school, or other organization

Make your calendar available to the public

When you make a calendar public, people can:

  • Find your public calendar on a website or in search results, if the website is searchable.
  • Sync your calendar with other apps.
  • Subscribe to your public calendar and check it in Calendar.
  1. On your computer, open Google Calendar.
  2. On the left, find the “My calendars” section.
    • To expand the "My calendars" section, click the Down arrow Down arrow.
  3. To the right of the calendar, click More and then Settings and sharing.
  4. On the left, click Access permissions for events.
  5. Under “Access permissions for events,” select Make available to public.
  6. Next to a setting, in the drop-down, select the access level.

Make your calendar available to your organization

Important: Even if you don’t share your calendar, super administrators and administrators with the Google Meet hardware privilege can find your calendar and all event details. They can also access calendars and details for everyone in your organization. Learn how to contact your administrator.

If you use Calendar through your work, school, or other organization, you can make your calendar available to everyone in your organization. When you make your calendar available to your organization:

  • People in your organization can find and subscribe to your calendar.
  • People outside your organization can’t find your calendar.
  • If you invite someone outside your organization to a meeting, they can find information about the meeting.
  1. On your computer, open Google Calendar.
  2. On the left, find the “My calendars” section.
    • To expand the "My calendars" section, click the Down arrow Down arrow.
  3. To the right of the calendar, click More and then Settings and sharing.
  4. On the left, click Access permissions for events.
  5. Under “Access permissions for events,” select Make available for {company name}.
  6. Next to a setting, in the drop-down, select the access level.

Stop sharing your calendar

  1. On your computer, open Google Calendar.
  2. On the left, find the “My calendars” section.
    • To expand the "My calendars" section, click the Down arrow Down arrow.
  3. To the right of the calendar, click More and then Settings and sharing.
  4. Turn off share settings for the calendar.
    • For public access: Under “Access permissions for events,” turn off Make available to public.
    • For organization access: Under “Access permissions for events,” turn off Make available for {company name}.
    • For specific people or groups: Under “Share with specific people or groups,” next to the person or groups you want to remove, click Remove Remove.
