What are the user meeting trends?

You can follow the average duration and recurrence of meetings per day for users in your organization.

View the data

  1. From the Work Insights dashboard, on the left, click Work patterns.
  2. Find the chart titled “What are the user meeting trends?”
  3. In team filter at the upper-right corner of the page, select a team. For details, see Filter Work Insights data by team.
  4. (Optional) In the time filter at upper-right corner of the page, select a different time range.
  5. (Optional) To pinpoint a date and its associated number of meetings that were short, medium, or long, move your pointer over any area of the graph.

What the chart means

This chart shows how the duration of meetings might be increasing or decreasing over time. By setting a longer time range, you can more easily view changes in meeting duration and recurrence patterns. This can help provide an understanding of how much time users are devoting to meetings.

For example, the chart can help you understand whether long meetings are causing fewer employees to attend, and whether shorter sessions might be more productive. You can also view the number of recurring meetings per user, and determine whether any of them are outdated or no longer active because the organizer didn't cancel them. Meeting duration is measured as:

  • Short: 1 to 30 minutes
  • Medium: 31 to 60 minutes
  • Long: Any length over one hour 

Are all meetings included?

  • Remember that weekends are included within the work week average. This will impact the average if you are only interested in meetings within a 5 or 6 day work week.
  • Meetings that are declined, last more than 23 hours, or have only one attendee are excluded.
  • Meetings that have no response by invitees are included.
  • If a meeting time straddles two consecutive days, the entire time is counted only on the day the meeting begins.

How the data is calculated

The total number of meetings users attended per day is divided by the total number of users active on Google Workspace on that day.

Meeting trends tab

The first chart shows the average number of meetings per user on a given day specific to meeting duration. 

Details of the second chart show range and median distribution, in addition to the average. Although the average can sometimes be skewed by outliers, the median is less affected. The distribution also helps you identify the range of meetings employees attended. The range is the 10th percentile to 90th percentile, where the 90th percentile means 90% of employees have meetings less than that value.

  1. Select a duration time from the filter.
  2. Move the cursor over the graph to pinpoint a date and its associated data.

Identify teams that consistently have high meeting loads.

Consider promoting training on how to run effective meetings.

Determine if users are attending meetings after core hours. See Do users work with Google Workspace outside of standard business hours? If the meetings recur because of regular collaboration with different time zones, consider alternating the meeting times between locations to help reduce the load of one location.
Determine if the trend data for meetings are indicating an overload for users.

Compare the average number of long meetings per user over time to see if meeting duration needs to be addressed.

Identify team meeting patterns and decide whether to increase or decrease meeting loads, as necessary.

Determine why some users schedule consistently long meetings, especially if they recur over long periods of time. Consider sending a survey to users to help you understand possible reasons why long meetings might be necessary.
