I remember a time when a client insisted on a much tighter timeline than we could realistically deliver. After discussing it with my team, I realized we needed to have an open conversation with the client to address the gap. I set up a meeting and started by acknowledging their urgency, then presented a clear breakdown of the project phases and the time each would realistically require. By showing them the reasoning behind our timeline and offering a phased approach we could meet some of their immediate needs while ensuring quality. This not only helped us align on expectations but also built their trust in our ability to deliver effectively. In the end, we reached a compromise that satisfied both parties, and the project turned out great!

First analyze and understand is the Project timeline realistic and what are factors involved to fulfill it. List out what are hurdles to achieve it. Exactly understand why client wants it in the timeline specified. Is it market pressure etc. Most important is availability of internal resources and any uncontrollable delays involved in project – like – product needs to be dried for 10 hours – system needs 10 hours before you move to next step etc. Explain and educate client and make sure everything is documented

In projects, these situations are common when in management many unidentified modifications are accepted at the time of design of the solution. The impact on time is always the last thing to be evaluated. It is important to maintain proximity with the team supporting and presenting impacts. Exploring alternatives is a great direction to avoid conflicts

I would help the client and business communicate openly in order to address timeline conflicts. I would determine the most important priorities, evaluate flexibility, and suggest reasonable changes. I would make sure that everyone feels heard while upholding the integrity of the project and accomplishing important goals by placing a strong emphasis on cooperation, coordinating expectations, and identifying a middle ground.

I’d first understand both sides by speaking with the client and internal team. Then, I’d facilitate a meeting to openly discuss expectations and constraints, aiming for a compromise. I’d propose solutions, set clear expectations, and ensure ongoing communication to keep the project on track.
