You're facing pushback from non-technical stakeholders on new software. How can you win them over?

In my opinion, when introducing new software, clearly articulate its value by explaining how it addresses current problems or creates new opportunities. Use relatable analogies and success stories to illustrate its benefits. Highlight key advantages such as cost savings, efficiency gains, and improved customer satisfaction. Avoid technical jargon and focus on outcomes and improvements that resonate with your audience’s daily work. For example, a new project management tool can streamline workflows, integrate seamlessly with existing tools, and offer real-time collaboration, leading to faster project completion and happier clients.

One thing I’ve found most helpful is to elaborate clearly which business problem the new software solves, as well as point out what would happen IF the implementation never happens/gets delayed. The combination of “what if” together with “what if NOT” works well

Simply put, when attempting to solve an existing problem, traditional methods of doing things, such as paperwork, are always present. You must be able to understand every detail of those old methods before you can explain how your new methods will simplify everything. Begin by explaining how the old way works, followed by explaining the tiresomeness of if, and finally trying to convince the client that you can solve the problem. In other cases, you are trying to improve something, such as the new Twitter platform. It is preferable to build all of Twitter's current features first and then add those that you believe are new or appealing. This is how you persuade/steal users from other companies/platforms.

🖥️ Explain what the new software brings to the table. It could be performance, so tell your stakeholders it will be faster than before, which is generally well appreciated. 🔒 It could also be security; with the recent CrowdStrike event, this will be welcomed with open arms, as IT outages are very detrimental to company reputation. ♿ It could also be a more accessible design; with all the regulations nowadays, explain that you need software more open to people with disabilities, as it is a must-comply legal constraint.

When you receive pushback, it usually involves a conflict between different approaches, when there is only 1, there is no resistance. When there are 2 or more options, explaining benefits instead of technical is usually a good path to follow

Make them a part of the team by involving them in requirement elicitation and sharing with them prototypes early in the project life cycle.

This is key. There's nothing worse than surprises in business. Transparency is vital at every stage of development including inception. The higher involvement is at the beginning the easier it is to manage expectations on both sides of the fence. Articulate problems, solutions, lessons, and changes in direction frequently to keep everyone on the same page.

Because of this, the pool of new engineers that newly joined their org never got the opportunity to learn to use tools that would have made their lives much easier. And then finally one of their engineers took the time to prepare a demo showing the capabilities of version control and what they could gain out of it and later convinced their organisation to finally take the much needed step.

You can talk about the potential impact all you want, but the truth is "seeing is believing". It's so easy these days to take non-technical, no code tools and make a quick demo of some real life process. The conversation needs to be shifted from abstract features to tangible benefits and demonstrations that these non-technical stakeholders can see will make a world of difference. Help them see and understand how the change you are proposing will make their daily lives easier. Once they understand the "what's in it for me" factor, you will convert skepticism into support easily.

For the email delivery, when we were moving to a 3rd party solution. We showed reduction in number of emails landing in the junk folders, tracking of opened, read, deleted emails, included links clicked. This made Marketing teams super excited on the impact it would drive to the business.
